Job Type/Schedule This position is full-time and works approximately 40 hours per week. Department Name/Job Location This position is in the Department of Pediatrics. The position is located at the Northwest Tower. This position is for the Medical School Campus. Essential Functions POSITION SUMMARY: This position performs advanced secretarial duties, such as scheduling appointments, typing medical dictation requiring substantial use of medical terminology, and maintaining physician’s schedules. PRIMARY DUTIES AND RESPONSIBILITIES: 1. Schedules appointments and procedures for patients within Academic Pediatrics, as well as coordinating appointments with other specialties. 2. Greets visitors, answers telephones, takes messages, and screens patient inquiries, providing information according to departmental procedures and policies. 3. Serves as a liaison between community agencies, patients, physicians, and staff, providing routine information to patient inquiries. Processes paperwork for patients from other providers and community agencies and hospitals. 4. Maintains physician’s daily appointment schedule and calendar, schedules meetings, arranges conference calls, reserves catering services, makes travel arrangements, completes travel expense reports, and maintains office supplies. 5. Transcribes medical documents, such as physician’s letters, correspondence, nurse’s notes, and manuscripts; if order entry in the electronic medical record is part of the job function, completes requisitions/orders per Washington University guidelines 6. Prepares patient charts, including delivering work-ups. 7. Assists with retrieval and delivery of reports, films, etc. 8. Assists administrative/clinical staff during peak times, vacations/illnesses. Required Qualifications * High school diploma or equivalent high school certification. * Three years of related experience in a medical office setting. Preferred Qualifications * Two years of college or business school. * Experience with scheduling patient appointments. * Familiarity with use of Epic software. * Experience with clinical care of patients. * Experience and proficiency in Microsoft Office Suite (Outlook, Word, Excel). * Ability to provide clinical administrative support to clinical sections of the division as needed. * Ability to work independently, multitask and troubleshoot will be important in this role. * Experience with obtaining prior authorizations. * Ability to type and use various software packages. * Working knowledge of medical terminology. * Effective verbal, written and interpersonal communication skills. * Demonstrated decision-making skills. * Working knowledge of general office equipment and computers. Salary Range The hiring range for this position is $16.31 - $20.39 per hour.
