Day Shift Perform clinical and administrative duties under the direction of the Nurse Manager and RN’s. Clinical duties may include rooming patients for their visits, taking and recording vital signs, medical histories, medication reconciliation, preparing patients for examinations, and other types of screenings as necessaryBegin
Schedule and confirm patient initial evaluation and return appointments, coordinating multidisciplinary schedules as necessary. Understands subspecialties of the therapists to assign proper patient appointments to specific therapists
Admit or pre-admits the patients quickly and accurately
Interviews patients in order to complete documents and forms such as intake and insurance information. Enter patient information into the computer system correctly upon admission. Scan information into the Medical Record as needed
Fulfill all medical records requests in a timely manner
Check discharged charts for accuracy with billing and documentation
Processes discharged and paid medical records for microfilming when deemed necessary.
Enters information into EMR correctly for collection of statistics
Collect money from patients or processes checks received by mail and records such activity appropriately. Prepares the daily deposit
Handle phone communications from patients, physician offices, insurance companies and other promptly and accurately, utilizing proper phone etiquette and manners
Accurately summarize the patient’s bills, the insurance payment, the deductible, co-insurance and co-pay as requested
Greet visitors, ascertain purpose of visit, and direct them to appropriate staff within SoutheastHEALTH
Obtain precertification of insurance before or during the first day of treatment. Maintain accurate and current records on such information. Inform the therapists of necessary paperwork or phone conferences that need to be made to ensure continued insurance coverage is obtained for therapeutic interventions given. Inform patients of any limitations in coverage that may exist with their insurance coverage of rehabilitation services beyond the usual and customary deductible and co-pay
Make decisions in scheduling to assure flow processes are effective for patients and staff
Compile all statistics and generates all reports as deemed necessary by the Executive Director of Fitness and Rehabilitation
Operate office equipment such as telephone, voice mail messaging systems, paging, Microsoft Office, EMR and other software applications to prepare reports, statistics, letters and medical records
Transmit correspondence and medical records by mail, e-mail, or fax
Duties require interacting with different patient groups. For example, children, adolescents, adults, the elderly, and requires recognition that different age groups may require specialized attention or assistance
Collect and distributes mail and parcel
Order, track and receive supplies and equipment utilizing Lawson system
Types as needed for therapists and office manager
Performs any other duties deemed necessary by the office manager, Rehab managers and executive director
Clean and organize work area and disinfect equipment after treatment
Change bed linens and clean treatment rooms after each patient treatment
Stock rooms and modality cabinets with linens and supplies needed for daily operations
Observe patients during treatment on patients’ responses and progress, and report to therapists
Secure patients into or onto therapy and exercise equipment
Transport patients to and from treatment areas, using wheelchairs or providing standing support
Assist physical therapist or physical therapist assistant with setting up patients for modality, gait, and exercise treatment
Maintain equipment and furniture to keep it in good working condition
Complete checklist of temperatures, expiration dates, equipment, etc. for JCAHO and safety
Maintain expense control to achieve value based provider
Assures goal of unrelenting quality through patient and employee satisfaction
Perform any other duties deemed necessary by the office supervisor, rehab manager and executive director
Perform duties with respect, courtesy and kindness to achieve excellence in customer service
Create environment of efficiency and concern for the needs of patients
Work effectively with all personnel to create an environment of cooperation and respect
File primary insurance claims for patients. File secondary insurance claims. Responsible for sending accurate documentation to the insurance companies as requested. File electronic claims. Use the Xactimed system to file claims, correct errors and validate claims for errors on electronically filed claims
File liens on appropriate claims and follows up on these
Track EOBs and status on insurance claims filed and re-files when needed. Works with Executive Director on A/R, contractual allowables and refunds
Become
Minimum of high school education or equivalent required
Business classes or business office experience preferred. Insurance experience desired, but not required
Must be computer proficient
Must be detail orientated and possess good organizational skills
Must be able to multi-task
Successful completion of on-the-job training in Rehab philosophy, body mechanics, transfer techniques, and modality setup
Certification in CPR through American Heart Association
Prior experience as a CNA or other medical related field is desirable
Must be able to read, write and speak English
